Have TourTheSchool Manage Your Tour Schedule

Guide · Updated 2026-10-02

Set up Automated Tour Management

Use Tour Management to set your regular tour days and times and add dates when your school cannot offer tours. Instead of entering each tour separately, you can submit a recurring schedule and closures together. The dashboard states that tours are created when you save, skipping closure dates and calendar events.

1. Open Tour Management

Sign in at https://dashboard.tourtheschool.com and choose Tour Management in the left-hand menu. The page heading is Automated Tour Management. Recurring Tours is on the left; Closures / No-Tours is on the right.

Before you begin, make sure the location and tour type you want to use are available in your account. You can review them under Locations and Tour Types.

2. Choose your recurring schedule

  1. Under School Location, select the location for this schedule.
  2. Under Tour Type, select the type of tour you want families to book.
  3. Under Days of the Week, select the days on which you offer this tour.
  4. Under Select Time for the Tour, click one or more start times. Scroll within the time list to find later times. Times are offered in 15-minute increments; this is the spacing between available start-time choices, not a statement about tour duration.
  5. Under How far in advance should tours be available (in days)?, choose 30, 60, or 90.

For example, to offer the same tour on Tuesdays and Thursdays at 10:00 AM, select those two days and that start time. Choose 60 if you want to use a 60-day advance window. Review your closures before submitting.

The form selects one location and one tour type at a time. Use a separate submission for a different location, tour type, or pattern—for example, Tuesday at 10:00 AM and Thursday at 2:00 PM rather than both times on both days.

3. Add closures and no-tour dates

On the right, use Select Closure Dates to choose holidays, staff training days, or other dates when tours should not be available.

  • Click each date you want to exclude. Selected dates appear in a list below the calendar.
  • Use Next and Previous to move between months. Past dates are disabled.
  • Before submitting, click a selected date again, or click its × in the selected-date list, to remove it from your selection.

You may enter a school calendar URL, select closure dates manually, or use both. If you do not need any exclusions, you can submit a complete recurring schedule without them.

4. Optionally load a school calendar

Enter your calendar link in Your School Calendar URL (Optional), then click outside the field. The page attempts to load public calendar events and adds returned dates to the closure selection. Review the loading result, the event list, and the selected dates before submitting.

Use a calendar containing the dates you actually want to exclude from tours, not a general calendar full of unrelated events. Changing the advance window while a calendar URL is present triggers another calendar fetch, so review the dates again afterward.

If the page cannot load the calendar, check that the link is accessible without signing in. You can instead clear the URL and select closure dates manually. Do not assume that entering a URL establishes a continuously synchronized calendar connection; check the resulting tour availability after saving and when your school calendar changes.

5. Submit and check the result

When both sides of the form are ready, click Submit once. This is a live scheduling action, not just a preview.

Review Recurring Tour Submissions and Closure / No-Tour Submissions below the form. These tables let you review the submitted schedule details and closure information. Then check Tours or the dashboard calendar, and open your school's public booking page to confirm that the intended dates and times are available and closures are excluded.

You can also submit closures without entering a new recurring schedule. In that case, leave the recurring location, tour type, weekdays, and times unselected. If you begin entering a recurring schedule, the form requires a location, tour type, at least one weekday, and at least one time before it will submit.

Troubleshooting and important checks

  • A required choice is missing: check Locations or Tour Types. If a location is still unavailable, contact support before proceeding.
  • The form asks you to complete recurring details: finish all four required choices, or clear the partially entered recurring details if you only want to submit closures.
  • A holiday still appears bookable: review the selected closure dates and the actual tour list. Do not assume an existing tour or booking has been canceled just because you added a closure.
  • You need to change a schedule that already has bookings: review the affected tours and attendees before making changes. Contact support if you are unsure how a change will affect existing reservations.
  • Your school calendar or scheduling needs change: return to Tour Management and verify the saved submissions and public availability. The 30/60/90-day choice alone should not be treated as confirmation that availability will extend indefinitely without further checks.
